Last updated: May 2026Effective date: May 2026
Who we are
This website is operated by TPot Recording Studios, The Old School House, Path of Condie, Perthshire, PH2 9DW, Scotland, United Kingdom.
The data controller for personal data collected through this website is TPot Recording Studios. You can reach the data controller at tpotstudio@gmail.com or by phone at +44 7821 146674.
What data we collect
We only collect data that you voluntarily provide to us. When you submit a booking enquiry through our contact form, we collect:
- Your name
- Your act or band name (if applicable)
- Your email address
- Your preferred recording dates
- Your choice of recording package
- Any message or notes you include about your project
We do not collect payment information through this website. We do not use analytics services, advertising networks, or tracking pixels. We do not collect any data through cookies placed by us.
How we use your data
The information you submit is used solely to respond to your booking enquiry and to discuss potential recording projects at TPot Recording Studios. We will not use your data for unsolicited marketing, will not sell it to third parties, and will not share it with anyone outside of TPot Recording Studios except where necessary to provide the service you have requested.
Our lawful basis for processing this data is legitimate interests — responding to a direct commercial enquiry you have initiated.
Third-party processors
Enquiry form submissions are transmitted via FormSubmit, a third-party form processing service. FormSubmit receives and forwards your enquiry to our email address. Their privacy policy governs how they handle data in transit — we recommend reviewing it at formsubmit.co/privacy.pdf.
International transfers
FormSubmit is operated from the United States, so personal data you submit through our booking form may be transferred outside the United Kingdom and the European Economic Area for processing. Such transfers are made in reliance on the UK's transitional adequacy arrangements and the providers' own safeguards. By submitting the form you acknowledge this transfer. The data we receive at our end is held in the United Kingdom.
Embedded video and font content delivered by Google (YouTube, Google Fonts) is served from a global content delivery network, which may include servers outside the UK. We use YouTube's privacy-enhanced embed mode (youtube-nocookie.com), which does not set tracking cookies unless you play the video.
This website loads fonts from Google Fonts (fonts.googleapis.com). Google may collect limited usage data as part of this service. Please refer to Google's Privacy Policy for details.
We have no other third-party data processors connected to this website.
Data retention
Booking enquiries are retained in our email inbox for as long as they are reasonably useful — typically for the duration of any resulting project plus two years. Enquiries that do not result in a booking are deleted within 12 months of receipt. You may request earlier deletion at any time.
Your rights under UK GDPR
Under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018, you have the following rights:
- Right of access — to request a copy of any personal data we hold about you.
- Right to rectification — to request that inaccurate data be corrected.
- Right to erasure — to request deletion of your data (subject to any legal obligations to retain it).
- Right to restriction — to request that we restrict how we use your data.
- Right to data portability — to receive your data in a structured, commonly used format.
- Right to object — to object to processing based on legitimate interests.
To exercise any of these rights, please contact us at tpotstudio@gmail.com. We will respond within one calendar month.
If you are not satisfied with how we handle your request, you have the right to lodge a complaint with the Information Commissioner's Office (ICO), the UK's supervisory authority for data protection.
Security
We take reasonable steps to protect the personal data you send us. Enquiry data is transmitted to us by email and stored in a standard email account with access restricted to authorised personnel of TPot Recording Studios.
Changes to this policy
We may update this policy from time to time. The current version will always be available at this address. Material changes will be noted at the top of the page.
